JOB DESCRIPTION:
The Division of Family and Child Health (DFCH) is charged with creating programs, policies, services, and environments that support physical and socio-emotional health, and promote safety and well-being for New York City children and families. The Division is comprised of the Bureau of Maternal, Infant and Reproductive Health, the Bureau of Early Intervention, the Office of School Health, DFCH Administration and possibly other Bureau/Program areas as the Division of Family and Child Health evolves. Under the direction of the DFCH Director of Administrative/OTPS Unit, duties of the Administrative/OTPS Coordinator will include but not be limited to: • Prepare, review and submit purchase requisitions to the Office of Purchasing via ConTrak-Purchasing. • Verify receipt of supplies and equipment deliveries; reconcile orders and approve purchase order invoices utilizing PAYRS system. • Review and approve invoices utilizing PAYRS system, track deliverables and contact vendors as needed to request supporting documentation. • Prepare, review and submit check requests, metro card reimbursement requests and personal reimbursement requests for miscellaneous expenses to Fiscal Management. • Maintain each bureau’s OTPS electronic expenditure/encumbrance tracking log; reconcile periodically with DOHMH’s financial systems. • Back-up to Division’s Travel Liaison in reviewing, submitting and approving all travel requests. • Maintain office supplies and equipment inventory and completes supply requests for the division. • Assist with various administrative requests, i.e., Work Location Change Requests (WLCRs), Staff Emergency Information Line (SEIL) updates, Business Cards, QUANTROS, etc. • Assist the Director of Administrative & OTPS Unit with special projects as needed.
